JOB SUMMARY
The position involves performing complex and moderate to difficult clerical, record processing, bookkeeping and accounting, secretarial and general office support functions involving a variety of tasks. Work involves a variety of responsible legal, confidential and administrative duties and general office support functions associated with the department to which the position is assigned. Work requires discretion and independence of action and is controlled by established work methods and procedures.

For Public Works:

Computes, verifies and processes time and attendance documents for the Public Works/Highway Department.
Assists in processing and follow-up of property and liability claims.
Examines invoices prior to payment to determine propriety of expenditure.
Prepares and maintains records reflecting acquisition cost, location, physical description, purchase date, depreciation charges, book value and other pertinent data on plant and equipment items.
Participates in the recording of charges, adjustments and receipts to subsidiary accounts receivable ledgers; balances subsidiary ledgers to controlling account; prepares certifications for collection of delinquent accounts; and prepares daily report on collections.
Maintains specialized journals and subsidiary ledgers according to an approved chart of accounts by posting entries, by making adjusting entries and by preparing financial statements from records maintained.
Assists in the preparation of reports and preliminary budget estimates by using the bookkeeping records maintained in the unit.
Organizes and maintains multiple public work databases and spreadsheets, including traffic counts, crash reports, signs database, etc.
Assists with stormwater agenda items, permit tracking, and accountability of funds received.
Prepares RTA reports of mechanic hours and completed service requests.
Maintains databases for mowing, ditching, MODNR waste categories, pipes, bridges, pavement, adopt a road, licensing, and training.
