Reporting to the Director of Business Operations and Auxiliary Services, the Mail Distribution & Copy Services Manager is responsible for the day-to day operations of mail and distribution services, copy services, and central receiving and central stores.

As a unit manager, these responsibilities include staff supervision, training, and development; annual business and strategic plan development, maintenance, and assessment; budget management; capital asset management; and compliance with all OSHA, EPA, and fire standards for the handling of chemicals and disposal of hazardous waste, including training and certifications for operation of large factory equipment.
Primary Responsibilities

Successfully manages the daily/weekly/ monthly/ annual operational activities of Mail/Central Receiving/Copy Center. These activities include:

Provides mail services to the university community in association with the US Postal Service. This includes delivery and pick-up services; purchase, maintenance, and training on a various equipment used in large organizations; and the management of and compliance with postal software.

Manages the Xerox-based production copy center. Services include high speed copier services, such as color bulk and large format services, for the entire university. Establishes and maintains appropriate inventory based on annual demand.

Manages inventory control and chargeback process for Central Stores (general supplies) operation. Responsible for accountable receipts, secure temporary storage, and delivery of large freight shipments to and from the university via Central Receiving.

Coordinates financial planning and performance in accordance with annual budgets and environmental demands.

Coordinates annual training and development for the department.

Works closely with the Director of Business Operations in developing the annual budget/business plan.

Coordinates developing and implementing the department’s strategic vision and mission, ensuring compatibility with institutional goals and objectives.

Provides assistance to the Director of Business Operations and Auxiliary Services with

developing and implementing policies and procedures.

Supervises the Mail/Central Receiving/Copy Center staff.
Qualifications

Bachelor’s or Associate’s degree in Business Administration or other business related field. Will accept equivalent combination of education and related work experience.

Three to five years experience, preferably in a university mail/copy environment.

Minimum (3) years progressive supervisory experience.

Working knowledge of personal computing (Microsoft Suite, SAP, Blackboard,) and operation and maintenance of copy and postal equipment.
Computer and technology skills associated with bulk and regulated mailings to insure proper classification and appropriate postage rates and savings for the university. Advanced training and skills in all facets of customer service. This includes an in-depth understanding of higher education culture and self-governance.
Advanced interpersonal and oral communication skills to handle the varied needs of the campus community, visitors, and business partners. Must be able to establish an excellent rapport with the campus community.
Maintain a professional working relationship with the United States Postal Service. Maintain a high level business relationship with our copy business partners. (Prosource and Xerox)
