Position Details

POSITION SUMMARY: Under direct supervision, the Project Assistant performs a wide variety of administrative support duties as applicable to the assigned project, including maintaining records and reports, and communication with participants and staff. They will assist with the planning, setup, monitoring and closeout phases of a specific projects.
Key Responsibilities:

Communicate and collaborate with students, teachers, families and other stakeholders involved with and/or impacted by the project; respond to routine requests for information and data, in person, over the phone or via email.

Acquire, inventory and manage project resources, equipment and materials.

Problem solve unexpected challenges that impact project progress and outcomes with project director or administrator.

Support, facilitate, organize and coordinate project activities as directed; follow and maintain processes directly related to project implementation and suggest and create or suggest specific strategies for easier and effective execution of project or process improvements.

Responsible for overall project organization including, data entry, filing, website maintenance and documentation; develop project forms and other related materials.

Set up, support and general coordination at project events.

Coordinate activities with those of other departments or related projects.

Follow project schedules to ensure deadlines are met; project deliverables, outcomes and reporting are produced and completed in accordance with project timelines.

Collect and track project information, accounts, data and progress; monitor and report on progress of the project to all stakeholders.

Operate standard office machines.

Demonstrate a commitment to the Portland Public Schools Equity Initiative by developing a thorough knowledge and application of the district Racial Educational Equity Policy and other board policies; participate in staff development, in-services and trainings related to diversity, equity and inclusion in the workplace and in K – 12 education; model appropriate behaviors; develop, recommend and implement improvements to educational business practices with awareness and understanding of their impact in a racially and culturally diverse community.

Minimum Qualifications. 1. High school diploma or G.E.D. and proficiency in English composition and grammar.
2. Three years related experience.
3. Demonstrated ability to follow instructions.
4. Ability to interpret and communicate policies and regulations.
5. Proficiency with various computer applications, including word processing, website content management tools, database and spreadsheet.
6. Knowledge of District organization and policies.Ability to originate routine correspondence; detailed record keeping, ability to meet deadlines.

8. Excellent written and verbal communications skills.
9. Ability to handle multiple tasks at one time and cope with interruptions.
10. Ability to provide excellent customer service under stressful conditions.
WORKING CONDITIONS The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment: Work is performed primarily in a High School campus environment with extensive student, parent and public contact and frequent interruptions. Salary Grade: H
Hourly Rate: $19.55 – $24.63 (Based on education and experience)
Work year: 202 days
