Department Overview:
This position is responsible for providing administrative support for Clinical Transplant services. Duties include scheduling and coordination of complex patient referrals, admissions, visits, additional testing; and other outpatient services as required; professionally documenting in a patient’s electronic health record; screening program related phone calls (patients, referring physicians, and OHSU Staff); management of work queues to meet OHSU metric standards; frequently communicating to the multidisciplinary team; scanning/importing documents into EMR, and providing assistance to patients, functioning as the liaison for insurance plans, providers, and care team members. This position is responsible for scheduling evaluation appointments for pre-transplant patients. The PAS Resource Specialist in this position is responsible for accurately managing a large volume transplant patient population. This position requires significant attention to detail, accuracy, and timeliness as many of the job functions are to meet regulatory requirements. This position is vital for the efficient operation of a complex work unit.
Function/Duties of Position:
Referral Coordination. Maintain and track incoming patient referrals. Process referrals in accordance with OHSU standards. Schedule necessary testing associated with pre evaluation process. Applies problem solving and negotiating skills in resolving patient concerns and referral related problems.
Enrollment & Authorization. Gathers and/or verifies patient information including demographics and insurance coverage. Confirms patient eligibility for health care coverage and clarifies any managed care arrangements. Enters all information accurately into OHSU databases or into the medical record when necessary.
Evaluation Scheduler. Maintains current information regarding pre-transplant evaluation schedules for service site providers. Serves as liaison and information resource for physicians, nursing support staff, and coworkers. Facilitates care arrangements by scheduling cardiac screens, drug screes, and any other necessary testing for pre evaluation as needed. Applies problem solving and negotiating skills in resolving provider and patient concerns and other scheduling related problems.
Arranged Care. Schedules new patient appointments. Creates medical records if needed. Arranges interpreters when necessary, and accommodates other special needs whenever possible. Mails information packets. Provides personal reminders to patients about upcoming appointments. Obtains and prepares OHSU medical records before scheduled appointments.
Integrated Care. Arranges clinical, diagnostic, or laboratory services. Directs patients to appropriate providers for other health care issues. Routes direct referrals to other clinical services. Contacts primary care physicians or their designees for referral related questions.
Telecommunications. Triages and documents accurately telephone calls from patients including requests for medication refills, complaints, general information inquiries, and urgent health care concerns. Delivers such information or requests promptly to the appropriate providers or their designees.
Training and Competency. Successfully completes the required PAS initial training and core competency assessment before or during the trial service period. Completes all required update modules. Maintain core competencies, and demonstrate continuous application of these skills throughout the period of employment.
Clinical Service Resource. Shares PAS Resource Specialist expertise and disseminates PAS information to PAS Resource Specialists and Trainees within the service area. Instructs co-workers as needed in user skills for PAS system software including thorough understanding and advanced EPIC skills. Maintains a service-based working knowledge of diagnostic and procedural coding. Fills in as needed for any subordinate PAS position within the service areas.
Customer Service. Provides high quality customer service to both external customers (patient, referring providers, and insurance carriers) and internal customers (OHSU health care providers and staff) that meets or exceeds the service standards of the health care industry. This duty includes prompt and professional communication efforts, face -to-face customer contact skills, crisis management, facility with available information, technology, standard complaint processing, flexible coverage of internal service needs, and the continuous application of process improvement methods and skills.
Other projects as assigned by manager and department director.
Required Qualifications:
One year of experience in a medical office setting, including high-volume direct patient contact, scheduling of appointments and obtaining managed care authorizations; OR
One and a half years of work experience in a high volume direct public contact position and 6 months experience in a medical office setting.
The candidate must have a thorough knowledge of policies and procedures. Candidates will have demonstrated advanced PAS user skills as well as extensive knowledge of integrated care at OHSU. The candidate will have successfully completed PAS Epic Training.
Demonstrated ability to work in a fast-paced environment; basic computer keyboarding skills including typing of 30 – 45 wpm and working knowledge of MS Office 2007; demonstrated previous experience using EPIC, including Cadence and Referral; demonstrated working knowledge and understanding of medical terminology and insurance authorization processes; six months previous experience working with multi-line phones; strong relationship building skills with patients, care plans, providers, clinic staff, management, OHSU and community partners; exceptional customer service skills – both in-person and on the telephone; exceptional interpersonal skills-able to resolve conflicts and problem solve between parties; demonstrates active listening skills and supportive, professional behavior; demonstrated evidence of strong written and verbal communication skills; ability to manage multiple priorities, prioritize workload, meet deadlines and meet urgent patient, physician and system needs; ability to work accurately and without constant supervision.

Preferred Qualifications:
Prefer High School Diploma or GED or BS or BA in any area.
Whole organ transplant medical office experience.
EPIC Phoenix experience.
Medical protocol processing experience.
Laboratory data entry experience.
Advanced EMR management.
Advanced computer keyboarding skills.
Additional Details:
This is a HYBRID position. Some remote and some onsite work.
